To enable a patient to book a time for a video consultation or physical appointment, there must be bookable slots in your calendar, which you create using templates. You can also use appointment templates to block time in the calendar for activities other than meetings in Visiba Care, such as training or administration. Appointment templates can be used for:
- Video consultation, for bookable slots for video visits.
- On-site appointment, for bookable slots for physical appointments.
- Other activity, to block calendar time and indicate that you are not available for booking.
Create a new appointment template

Go to Appointment Templates in the menu or click on the appointment template icon at the bottom right of the calendar. Then click on the plus sign.

Choose whether the template should be used for a video consultation, on-site appointment, or other activity. Depending on your choice, you will need to fill in different fields. Note that your administrator must have added at least one physical location for on-site appointments to be possible.

If your clinic is working with reasons for contact, you can attach a Reason for contact to the appointment template. Choose a reason for contact and fill in the name of the template, which can be a description and the duration. The template name will only be visible internally.

Choose a template name, such as describing the type of assignment and time. The name will only be visible to you.
- Fill in the Article number, which will be visible in the patient’s receipt. If you are not working with payments, fill in a random number, e.g. ‘0’.
- You can also choose a colour for your template if you wish.
- Select which payment method will apply:
- No payment (No price is displayed to the patient).
- Manually by healthcare unit (a price is displayed to the patient, but no transaction is performed in Visiba Care. Healthcare units manage payments manually).
- Directly by patient (an additional service, as the patient pays directly in Visiba Care with the activated payment method of your organisation).

Select whether you want the template to be bookable by patients or not, i.e. whether the time will be visible for patients to book or if the template will be used for healthcare-initiated appointments, e.g. follow-up. If the appointment template is bookable for patients, you can also customise how long before the time of the appointment the patient can book or cancel.

Click on Save.
Edit an appointment template
Click on the appointment template you want to edit. You can change all details except for appointment type, appointment duration, and administrative time. Click Save after you've made your changes.
